Members
The four roles in a Coassemble workspace, what each can do, and how to invite, change and remove the people in it.
How do I invite and manage the people in my workspace?
Open Settings and select Members. You'll see everyone in your workspace with their role, Owner, Admin, Creator or Developer, and you can invite new members, change someone's role, transfer ownership, or remove someone from the same list. The owner and any admin can manage members.
Courses are often built by several people at once: subject matter experts, writers, learning designers and the people who share the finished training. Engineers building on the Coassemble API need a different kind of access again, and larger teams usually want more than one person able to look after the workspace. Roles let you give each person the access their work needs.
What can each role do?
- Owner: the person who runs the workspace. Each workspace has one owner, who can do everything, including the three things only an owner can do: manage the plan and billing, delete the workspace, and transfer ownership.
- Admin: runs the workspace day to day alongside the owner. An admin can do everything the owner can except billing, deleting the workspace and transferring ownership. That includes building courses, inviting and managing members, managing workspace settings and connections, and using the Developer area. A workspace can have more than one admin.
- Creator: creates, shares and views insights on all the courses in your workspace.
- Developer: manages API keys, webhooks and the developer console. Developers work in the Developer area and don't open the course builder, so the engineers wiring Coassemble into your product never touch the courses your team is writing.
Each member has one role, so someone can't be a developer and a creator at the same time. If someone needs both, make them an admin.
| Can they | Owner | Admin | Creator | Developer |
|---|---|---|---|---|
| Create, edit and share courses | Yes | Yes | Yes | No |
| View course insights | Yes | Yes | Yes | No |
| Open the Developer area (API keys, webhooks, developer console) | Yes | Yes | No | Yes |
| Invite and manage members | Yes | Yes | No | No |
| Manage workspace settings and connections | Yes | Yes | No | No |
| Manage the plan and billing | Yes | No | No | No |
| Delete the workspace or transfer ownership | Yes | No | No | No |
Creators can't change your plan or payment details or manage workspace settings. Admins can't change the plan or payment details, delete the workspace, transfer ownership, or remove or change the role of the owner.
How do I invite a member?
- Open Settings and select Members.
- Click Invite member.
- Under Role, choose Admin, Creator or Developer.
- Type the email addresses of the people you want to add. Separate them with a comma, or press Enter after each one.
- Click Send invite.
Each person gets an email invitation. New people create an account to join your workspace, and anyone who already has a Coassemble account selects Accept invitation. Nobody joins until they've accepted. Everyone in the same invite gets the role you chose, so send a separate invite for each role.
For a shortcut, owners and admins can click Invite creators at the top of the dashboard to go straight to the invite form.
How do I change someone's role?
- In Members, select the three dots next to the member.
- Choose the role you want to give them.
They stay in your workspace with their new role. A creator moved to developer works in the Developer area in place of the course builder, and courses they built stay in your workspace. The owner and admins can change roles, and an admin can make another member an admin.
How do I remove a member?
- In Members, select the three dots next to the member.
- Select the delete option.
- Confirm by clicking Delete.
They lose access to your workspace straight away. Everything they created stays in your workspace, including courses, materials and other contributions. The owner and admins can remove members. Nobody can remove the owner.
How do I transfer ownership of my workspace?
You can hand ownership to someone who is already in your workspace.
- In Members, select the three dots next to the member.
- Select Transfer ownership to.
- Select Transfer ownership to confirm, then enter the 6-digit verification code we email you and select Verify.
Only the current owner can transfer ownership, and the new owner's name then shows the Owner label in the Members list.
Frequently asked questions
What happens if our owner leaves the company?
If your workspace has an admin, they can keep managing members, settings and connections, so the workspace keeps running. Only the owner can transfer ownership or change billing, so it's worth adding at least one admin before you need one.
Where did the Creators tab go?
It's now Members, under Workspace in Settings. It lists everyone in the workspace, whatever their role.
Is there a limit on how many creators I can have?
No. Every workspace can have as many creators as you need. Adding a developer doesn't change your number of creators.
When I delete a member, does their content stay in our workspace?
Yes. Only their access is removed. All the content they created stays. If you delete the entire workspace, though, all its content is removed and you lose access.
